Job Summary
We are looking for an experienced IT Asset Manager to oversee the lifecycle management of our organization’s IT assets and ensure efficient tracking, allocation, and compliance. The ideal candidate will have a strong background in IT asset management, digital account administration, and audit trailing, along with excellent coordination and organizational skills. You will be responsible for managing IT hardware, software, and digital licenses, while collaborating with internal teams and vendors to support seamless operations and adherence to company policies. Strong attention to detail and a passion for audit trailing and tracking are critical to success in this role.
Key Responsibilities
IT Asset Management
- Maintain an accurate and up-to-date inventory of all IT assets, including laptops, phones, SIM cards, and digital accounts (e.g., Adobe, Autodesk, antivirus, Truecaller).
- Assign IT assets and digital accounts to employees during onboarding and ensure timely recovery during offboarding.
- Manage procurement, distribution, and disposal of IT assets, ensuring proper documentation and compliance with policies.
- Track recurring and one-time payments for IT services and subscriptions, coordinating with the Accounts and Finance teams.
Asset Tracking & Monitoring
- Ensure all IT assets are tracked systematically and are in good working condition.
- Use and evaluate asset tracking tools/software for efficient monitoring and reporting.
- Prevent asset loss through robust record-keeping and regular audits.
Digital Accounts Management
- Oversee the procurement, assignment, password reset, and deactivation of digital accounts and software licenses.
- Manage allocation, activation, and deactivation of SIM cards and mobile devices.
- Monitor the status of subscriptions and renewals to ensure uninterrupted service.
- Keep detailed records of software licenses and usage for audit and compliance purposes.
- Collaborate with the Accounts team to manage billing and payments.
Service Desk Support
- Provide timely support to employees for IT hardware and digital account issues.
- Maintain a service desk ticketing system to log and resolve user issues effectively.
- Ensure smooth coordination between IT, HR, and other departments for seamless employee onboarding/offboarding.
- Train employees in the proper handling and usage of IT assets.
- Provide technical support for IT hardware issues and coordinate repairs/replacements when required.
Coordination & Vendor Management
- Liaise with vendors for procurement, warranty claims, and service support for IT hardware and software.
- Coordinate with internal teams (Finance, HR, and Procurement) to align IT needs with business requirements.
- Ensure adherence to service level agreements (SLAs) and monitor vendor performance.
Audit Trailing & Compliance
- Maintain detailed records and perform regular audits of IT assets and digital accounts.
- Maintain compliance with internal IT asset management policies and external regulatory standards.
- Ensure strict adherence to internal policies and external compliance standards (e.g., ISO 27001).
- Prepare audit-ready documentation and reports for internal and external stakeholders.
Process Optimization & Automation
- Explore and implement software solutions to improve IT asset and digital account management.
- Continuously optimize tracking and reporting systems to improve efficiency and accuracy.
Qualifications
- Bachelor’s degree in Information Technology, Computer Science, or related field.
- Minimum of 4+ years in IT asset management or a related role.
- Proficiency in IT asset tracking software and digital account management tools.
- Strong understanding of hardware, software, and license lifecycle management.
- Expertise in MS Office applications.
