Senior Manager – Landlord Relations and Building Compliance

Team: Individual contributor role (no direct reports), working closely with internal teams, landlords and external consultants.

Commercial Authority: You negotiate and recommend cost-shares, rent adjustments and other commercial settlements with landlords. Final approval sits with the Head of Real Estate and Building Compliance.

Job Summary:  You will own BHIVE’s relationships with the landlords of our 30+ buildings and make sure every piece of landlord-scope work, document and commitment gets delivered. You will also own building and business compliance for every centre, so that no approval or licence ever lapses.

Our landlords range from individual property owners to large developers such as Century, Sattva, Phoenix and Concorde. Much of what keeps our buildings running well falls under the landlord’s scope in the lease. You will be the single point of contact who turns those obligations into completed work, using strong relationships, a close reading of each agreement, and well-structured negotiation.

We have a large number of landlords, and many of them are not easy to deal with. We pay them rent every month, yet we often depend on their permissions and decisions to get things done. You must keep these relationships strong over the long term and still get clear decisions from landlords when we need them, without letting either one come at the cost of the other.

Key Responsibilities:

1. Landlord Relationship Management

  • Be the main point of contact for 30+ landlords: individual owners, family-held properties and institutional developers.
  • Build long-term relationships based on trust through regular meetings, site walks and reviews.
  • Treat every landlord relationship as a long-term one. Many landlords are strong-willed and used to having the final word, so earn their respect and goodwill well before you need a permission or a decision from them.
  • Adapt your approach to each landlord. Use a personal, relationship-led style with individual owners and a structured, process-led style with developers’ asset and facility teams.
  • Keep a landlord tracker with contacts, open issues, commitments, timelines and escalation history.

2. Getting landlord-scope work done

  • Understand each issue from first principles: what is broken, who is responsible, and what it costs us if it stays unresolved.
  • Map every request to the lease and identify whether it falls in landlord scope, BHIVE scope or shared scope.
  • Build a clear, convincing case for each ask, backed by agreement clauses, photos, reports and business impact.
  • Negotiate the outcome: the landlord does the work, funds it, or agrees to a cost-share or rent adjustment.
  • Recommend cost-shares and rent adjustments with a clear commercial rationale. You do not approve them yourself; approval sits with the Head of Real Estate and building compliance.
  • Follow through until closure, escalating within the landlord’s organisation when needed.

3. Agreements and landlord documentation

  • Know every lease and LOI in the portfolio, including scope clauses, maintenance obligations, CAM, escalations, lock-ins and renewal terms.
  • Get landlord documents on time: OC, NOCs, fire and statutory approvals, title and ownership papers, consents and authorisation letters.
  • Track agreement milestones such as renewals, rent escalations and handback obligations, and flag them early.

4. Building handovers and fit-outs

  • Work with the Projects team during new building handovers to agree what is landlord scope and what is BHIVE scope.
  • Track landlord deliverables at handover (shell and core, MEP, approvals) and close snags before go-live.

5. Building and business compliance

  • Own ongoing compliance for every BHIVE centre: fire NOC, Shops and Establishments registration, trade licence, lift licences, and every other approval, licence or registration that has to be renewed periodically.
  • Keep one compliance tracker for all centres, showing each item, the issuing authority, validity, renewal date, responsible person and current status.
  • Start renewals well ahead of expiry so that every item is in place and renewed on time, with no lapses.
  • Get the documents, inspections and filings each renewal needs, working with landlords, Facilities, consultants and government departments.
  • Make sure all approvals and registrations are in place for new centres before go-live, working with the Projects team.
  • Report compliance status to leadership every month and flag any risk of a lapse early.

Working with internal teams

You will sit between the landlords and four internal teams. You will turn each team’s needs into landlord asks and push back when an ask is not justified.

Team What you do together
Facilities Take in repair, improvement and escalation requests. Assess which ones are landlord scope and get them done. Tell the team clearly when an ask is unreasonable or not covered by the lease.
Sales Provide the landlord documents and approvals needed for client deals and audits, within agreed turnaround times.
Projects Define landlord vs BHIVE scope during handovers and fit-outs. Track landlord deliverables to closure.
Legal Work closely with lawyers on litigation and disputes, and support case preparation. Bring real landlord issues into new and renewed agreements. Propose clauses that make scope, timelines and remedies clear and enforceable.

What success looks like

Success means landlord-scope issues close faster, cost BHIVE less, stop reaching leadership as escalations, and every centre stays fully compliant.

Ongoing measures

  • Number of landlord-scope issues closed and average time to closure
  • Value of work done or funded by landlords instead of BHIVE
  • Turnaround time on landlord documents requested by Sales and Facilities
  • Repeat escalations from Facilities or clients on landlord matters
  • Handovers completed with an agreed, signed-off scope split
  • No lapsed approvals or licences at any centre, with every renewal completed before its due date

First 90 days

  1. Meet every landlord in person and map the key contacts at each building.
  1. Review all leases and write a scope-and-obligations summary for each building.
  1. Set up a single tracker of open landlord issues and commitments.
  1. Complete a compliance status check of all centres, set up the compliance tracker, and start closing any gaps or lapsed items.
  1. Close the top 10 long-pending landlord-scope issues.

Who we’re looking for

We want a mature, senior professional with a proven record of dealing with senior, high-net-worth and strong-willed stakeholders, and the presence to sit across the table from them as an equal. You should be able to be warm with a landlord one day and firmly hold them to the lease the next.

Experience

  • 15+ years of experience, including at least 7 years managing landlords, property owners or developers.
  • A proven record of dealing with senior, high-net-worth and strong-willed stakeholders, such as promoters, family owners and developer leadership, and getting decisions from them.
  • Background in coworking or managed offices, commercial real estate, leasing, property or facility management, retail or hospitality expansion, or corporate real estate.
  • A proven record of getting landlords to do or fund work they were at first reluctant to take on.
  • Experience with both individual owners and large developers.
  • Experience supporting litigation or property disputes and dealing with courts and government departments.
  • Experience managing statutory approvals and licence renewals (fire NOC, Shops and Establishments, trade licence, lift licences) across multiple sites.

Skills

  • Strong negotiation skills, with a clear, structured way of building a case.
  • Working knowledge of commercial lease agreements, LOIs, scope-of-work clauses, CAM and statutory approvals.
  • Working knowledge of building and business compliance requirements in Karnataka and how to get approvals and renewals through the relevant departments.
  • Logical problem-solving: breaking down an issue, weighing the options and choosing the right approach for each landlord.
  • Excellent spoken and written English.
  • Comfortable with trackers, reports and structured written follow-ups.
  • Disciplined about deadlines, with a reliable system for tracking renewals across many sites.

Traits

  • Assertive and persistent without damaging the relationship.
  • Balanced judgement, including the ability to tell internal teams when an ask is not reasonable.
  • High ownership and follow-through: issues get closed, not just raised.
  • Mature, composed and senior in presence: able to hold their own with senior, high-net-worth and strong-willed landlords.
  • Patient and diplomatic over the long term, while still pressing for a decision when the business needs one.
  • Calm under pressure, and never lets a deadline or renewal slip.

Nice to have

  • Exposure to building handovers, fit-outs or MEP basics.
  • Legal or real-estate qualifications, or past work alongside legal teams on lease drafting.
  • An existing network among Bengaluru developers and property owners.

Languages

  • Must have: English, Kannada and Hindi
  • Good to have: Telugu and Tamil

The role involves regular travel within Bengaluru to BHIVE buildings, landlord offices, courts and government offices as needed.
