Job Summary: The Senior Project Manager – MEP is responsible for end-to-end project delivery of interior fit-out works for coworking spaces, ensuring projects meet timelines, quality, safety, and budget benchmarks. The role’s scope spans planning and baseline schedule creation,meticulous execution oversight, comprehensive documentation, vendor bill certification, robust communication of quality and progress, and diligent closure of snags and post-handover issues.
Key Responsibilities:
- Project Planning, Scheduling & Reporting:
- Develop comprehensive project plans and create the baseline schedule (using tools like MS Project/Primavera), aligning execution with approved designs, specifications, and BOQs.
- Monitor site progress against the baseline schedule, identify variances, and drive recovery actions when required.
- Prepare and circulate Weekly Progress Reports (WPR) and other periodic reports, providing clear visibility on work status, risks, resource needs, and key milestones to AVP–Project Execution and stakeholders.
- Site Execution & Coordination:
- Supervise day-to-day activities of contractors, vendors, and site teams for timely and quality completion.
- Coordinate closely with design, procurement, and planning teams to resolve all execution issues and ensure no delays arise from material or information flow.
- Lead daily and weekly site meetings to proactively address risks and resource constraints.
- Quality Assurance & Communication:
- Conduct routine and milestone-based site inspections; document and categorize defects or non-conformities.
- Issue quality reports to vendors/contractors with clear corrective instructions and follow up to verify closure of all deficiencies.
- Maintain detailed records of all quality inspections, test certificates, and compliance checks
- Bill Certification:
- Meticulously review work done on-site, verify measurements, and certify vendor/contractor bills as per company procedures and contract terms.
- Ensure supporting documentation and signoffs are completed for each bill cycle, enabling timely payment processing.
- Coordinate with accounts, QS, and procurement for any clarifications or dispute resolution.
- Snag & Post-Handover Closure:
- Prepare detailed snag lists as part of pre-handover and handover processes; communicate effectively with vendors for closure.
- Track and document all snag rectifications and conduct closure inspections.
- Lead post-handover support for a defined period, ensuring all client-reported issues and latent defects are promptly addressed and closed within TAT (Turnaround Time).
- Documentation & Compliance:
- Maintain accurate and current documentation for all project phases—drawings, schedules, approvals, WPRs, inspection records, bills, snags, and closure reports.
- Adhere to company SOPs for file naming/organization and ensure proper upload to the central project repository or DMS (Document Management System).
- Monitor compliance with statutory, regulatory, health, safety, and environmental standards; maintain related documentation.
- Stakeholder Communication:
- Act as the on-site focal point for clients, consultants, vendors, and internal teams.
- Ensure timely escalation of critical issues to AVP–Project Execution and maintain transparent communication channels throughout the project lifecycle.
- Arrange and document site meetings, MOMs (Minutes of Meeting), approvals, and handover documentation.
