Procurement Manager – Opex

BHIVE is seeking an experienced Procurement Manager – Opex to lead and manage operational expenditure procurement across all BHIVE locations. This strategic role will focus on optimizing procurement processes, strengthening vendor relationships, and driving cost efficiencies to ensure seamless operational support across our coworking facilities.

Key Responsibilities

  • Procurement Strategy & Execution
  • Develop and implement comprehensive Opex procurement strategies aligned with BHIVE’s business and operational objectives.
  • Manage end-to-end procurement lifecycle across categories such as facilities management, office supplies, utilities, pantry, housekeeping, security, maintenance, and technology services.
  • Drive strategic sourcing initiatives for vendor consolidation, category optimization, and cost efficiency.
  • Establish and maintain robust procurement policies, procedures, and compliance frameworks.
  • Monitor and analyze procurement spend to identify cost-saving opportunities and ensure process efficiency.
  • Vendor Management
  • Identify, evaluate, and onboard vendors across multiple operational categories and locations.
  • Negotiate contracts, pricing, and SLAs with suppliers to secure competitive terms and service standards.
  • Maintain strong, long-term relationships with key vendors and service providers.
  • Develop and maintain a Vendor Performance Dashboard to track metrics such as delivery timelines, service quality, and issue resolution.
  • Conduct periodic vendor reviews, share regular feedback and scorecards, and drive improvement action plans.
  • Diversify supplier base to mitigate risks and ensure continuity of operations.
  • Financial Management & Cost Optimization
  • Manage operational procurement budgets and track spend versus approved targets.
  • Conduct cost-benefit analyses and total cost of ownership evaluations for all Opex categories.
  • Implement strategic cost reduction initiatives and deliver measurable savings.
  • Perform periodic spend analysis to identify off-contract purchases and optimization opportunities.
  • Collaborate with the Finance team on budget planning, invoice processing, and payment term negotiations.
  • Prepare and share variance reports comparing actual spend against budget, highlighting key deviations and corrective measures.
  • Stakeholder Collaboration
  • Partner with Operations, Facilities, Community Management, and Finance teams to understand procurement requirements and timelines.
  • Process purchase requisitions efficiently and ensure timely delivery of goods and services.
  • Provide leadership updates on procurement performance, cost savings, and process improvements.
  • Support new center launches through advance procurement planning, vendor identification, and setup.
  • Quality Control & Risk Management
  • Ensure that all goods and services procured meet BHIVE’s quality standards and specifications.
  • Implement quality control processes for inspections, returns, and replacements when required.
  • Identify and mitigate procurement-related risks such as supplier dependency and price volatility.
  • Develop contingency sourcing strategies to ensure uninterrupted operations.
  • Ensure full compliance with company, legal, and regulatory procurement guidelines.
  • Process Improvement & Reporting
  • Drive continuous improvement in procurement processes through automation and technology adoption.
  • Implement and manage digital procurement systems/tools to enhance transparency and efficiency.
  • Generate periodic reports on procurement KPIs, vendor performance, and cost savings achieved.
  • Maintain accurate documentation of contracts, vendor details, and pricing matrices.
  • Train internal stakeholders and junior team members on procurement best practices and system use.

  • Requirements
  • Education
  • Bachelor’s degree in Supply Chain Management, Business Administration, Commerce, or a related field.
  • MBA or Master’s degree preferred.
  • Professional certifications such as CIPS or CSCP will be an advantage.
